The 90-Day Full Chair System · dental & wellness

20 booked patients in 90 days. Or we work free until you get them.

Every missed call texted back in 10 seconds. Every overdue patient brought back. Every diagnosed treatment followed up until it books. We build it, we run it. Your front desk doesn't touch it.

01 — the leak
where the patients actually go

You don't have a marketing problem. You have a leak.

Most practices pay to pour patients into a bucket with four holes in it. Watch the bucket. Then flip the switch.

1 in 3
Calls go unanswered
Lunch, procedures, after 5. At $1,200 a crown, that's the most expensive voicemail in the building.
10–20%
No-show rate
$300 of chair time with nobody in it. A voicemail reminder from the front desk isn't fixing it.
35%
Of active patients are overdue
They didn't leave. Nobody texted them. They're sitting in your software right now.
$100k+
Diagnosed, never scheduled
Quoted, "I'll think about it," gone. Because nobody followed up on day 7.

02 — the system
one patient, start to finish · click any step

Ten things happen to every patient. You do none of them.

Not software you log into. A system we run for you. Here's what your patient sees, and what your calendar sees, at each step.

Step 01
Every door leads to one room.
Phone, web form, Google Business message, Instagram DM. Four places patients show up, one place they land. Nothing sits in an inbox nobody checks.

Step 02
Texted before they call the next practice.
The call rings out at 12:41:07. The text lands at 12:41:16. This one step pays for the whole system.
Missed call · 12:41:07
Hi, this is Dr. Patel's office. Sorry we missed you. Looking to book a cleaning, or is something bothering you?
12:41:16 · 9 seconds later
chipped a tooth, kind of hurts
Step 03
"Do you take Delta Dental?"
Hours, insurance, price ranges, parking. The AI answers what you've told it to. Anything clinical goes straight to your team.
do you take delta dental ppo? and roughly what's a crown
Yes, we're in-network with Delta Dental PPO. Crowns usually run $900 to $1,400 depending on the tooth, and the dentist confirms after an exam. Want me to book a first visit?
yes please
Step 04
Real slots. Real providers. No double-booking.
Reads your actual calendar. Emergencies get flagged to whoever you name. The patient picks, the slot fills, your front desk sees it appear.

Step 06 · Growth
"I'll think about it" gets a second chance. Four of them.
Diagnosed, quoted, unscheduled. Most practices are sitting on six figures of it. Short, polite, from your practice.
Day 2
Hi Maria, Dr. Patel wanted to check in on the crown for tooth 19. Any questions I can answer?
Day 7
We have a Thursday opening if you'd like to get it done before it bothers you.
Day 21
Your benefits cover a good chunk of this before Dec 31. Want the breakdown?
Day 45
Last note from us. Whenever you're ready, reply here and we'll find a time.
Step 07
Asked while they're still happy.
Two hours after the visit. Five stars go to Google. Anything less goes to your office manager first, not the internet.
Sent 5:12 PM · 2h after visitgoogle
Thanks for coming in today, Maria. If you have 30 seconds, a quick review helps more than you'd think.
"Dr. Patel's office got me in the same day."
Step 08
You already paid to get these patients. We bring them back.
Every month, the overdue list gets a text that sounds like you. Month one is the "benefits expire Dec 31" campaign.

Chapter 1 · a normal week

This is your week, as it is.

Eighteen appointments booked. Twelve chairs empty. Nobody did anything wrong.

The phone rang at lunch. A patient forgot. A treatment plan went quiet.

Chapter 2 · the leak

Every empty chair has a reason.

Missed calls. No-shows. Patients who drifted overdue. Treatment diagnosed and never booked.

Add it up and it walks out the door every single week.

Week 1 · the system goes live

Every call answered in 10 seconds.

The phone still rings at lunch. Now the patient gets a text before they call the next practice.

Watch the missed-call chairs fill first.

Week 2 · the list wakes up

Your overdue patients come back.

The overdue list gets its first text. Three touches, sounds like you, books the replies.

The cheapest production you'll ever book.

Month 1 · nothing slips

Reminders, follow-ups, reviews. Every time.

No-shows get rebooked the same afternoon. Diagnosed treatment gets followed up on day 2, 7, 21 and 45.

Nobody at your front desk had to remember any of it.

Day 90 · a full week

Same practice. Same staff. Full chairs.

Twenty patients booked by the system, counted and listed, or we keep working for free.

0booked in 90 days
or we work free
If we miss, we don't stop. We just stop charging.

Not a refund you have to chase. Not "credits." We keep running the whole system at no charge until you've had 20 appointments booked through it. Booked means on your calendar with a name and a time. We count them, you see the list.

We can make this promise because the math is boring. A 500-patient overdue list texted properly books 15 to 25 on its own. Missed-call text-back adds more. We're not guessing.

Requires: an active patient list of 300+ we can text, and a calendar we can book into. That's the whole list of conditions.
05 — how it goes live
seven days, one form

Your part takes twenty minutes.

No software to learn. No staff training. Your front desk finds out it's working when bookings start showing up in the calendar.

Day 1
Intake
One 20-minute call. Hours, providers, insurance you take, what to say about pricing. Export your patient list.
Day 2–5
Build
Your number, your calendar, your wording. Tested against the questions your front desk actually gets.
Day 6–7
Launch
You call the number, miss it, watch the text arrive. Then it's live.
Day 8–14
First campaign
Overdue list goes out. First bookings usually land the same day.
Day 30
First report
Calls recovered, patients booked, production booked. On the 1st, every month.
Why now
Insurance benefits reset on December 31.

Every patient with unused benefits loses them at midnight. Most practices send one postcard in November. We text the whole overdue list, three times, and book the replies. Live by November 1 and the campaign runs on time.

06 — the questions
what every dentist asks

The things you're about to ask.

Straight answers, no sales script. If yours isn't here, ask it on the demo.

Is this HIPAA compliant?
The system books appointments and sends reminders. It doesn't store clinical notes, doesn't discuss diagnoses, and doesn't touch your records. We sign a BAA with every vendor in the stack and with you. We won't call it "HIPAA-certified," because there's no such thing. Anyone who tells you otherwise is selling.
Does it work with Dentrix, Eaglesoft, Open Dental?
Month one runs off a list export, which takes your office manager five minutes. Direct sync where the software allows it. Open Dental has an open API. Dentrix and Eaglesoft go through a bridge. We'll tell you which on the intake call, not after you've signed.
What does the AI actually say to my patients?
It books, confirms, reminds, and answers the questions you give it answers to: hours, insurance you accept, price ranges, parking. It sounds like your practice because we write it from your intake. Anything clinical, anything about a specific patient's treatment, it hands to your team. You'll read every script before it goes live.
Does my front desk have to learn something?
No. Bookings show up in the calendar they already use. If a patient texts something the AI can't handle, your office manager gets it forwarded. That's the whole training.
What’s the contract?
Three months, then month to month. Cancel with 30 days’ notice. Start before October 31 and the $997 setup fee is waived. If we’re not hitting the guarantee, you’re not paying anyway.
Why only three practices a month?
Because we build every system by hand, with your offer, your hours and your insurance list, and we get it live in 7 days. Three practices a month is what our team can do properly. When a month fills, you go on the list for the next one.
What do you need from me?
One 20-minute intake call. A patient list export. Access to your booking calendar. A phone number to forward from, or we give you one. That's it.
We're a med spa / orthodontist / chiropractor. Same thing?
Same system, same price. Different reminder cycles: Botox every 3 to 4 months, ortho every 6 weeks, chiro on the care plan. If your patients book appointments and sometimes don't show, this is for you.
Who's actually building this?
Thoughtscape. We're an AI engineering firm, not a marketing agency. Offices in St. Petersburg, Vancouver and Islamabad. We've been building automation and AI systems for operations teams since 2023, and this is that work packaged for one industry.

Fifteen minutes. You'll see it work before we talk price.
